This Privacy Policy describes how Clavio ("we," "us," or "our") collects, uses, and protects information when you use our software-as-a-service platform. Clavio is a tool for digital product sellers that helps generate responses to buyer questions and issues using artificial intelligence.

By using Clavio, you agree to the practices described in this policy. If you do not agree, please do not use our service.

Information We Collect

We collect information you provide directly and information generated through your use of the service.

Account and profile information: When you sign up, we collect your name, email address, and any other details you provide for your account.

Content you submit: When you use Clavio to generate responses, we process the content you provide, including buyer messages, screenshots, product titles, product descriptions, and any other text or images you upload or paste into the service.

Payment information: We do not collect or store your full credit or debit card number. Payment details are entered on Stripe's secure payment pages. We receive and store only the billing information necessary to maintain your subscription (such as billing email and payment method identifiers provided by Stripe).

Usage and technical data: We collect information about how you use Clavio, including log data (such as IP address, browser type, and access times) and information about the features you use. This helps us operate and improve the service.

How We Use Information

We use the information we collect to:

  • Provide, maintain, and improve Clavio, including generating AI-powered responses based on the content you submit.
  • Process your subscription and manage billing through our payment provider.
  • Send you service-related communications, such as account notifications, security alerts, and support messages.
  • Respond to your requests and provide customer support.
  • Detect, prevent, and address technical issues, fraud, or abuse.
  • Comply with applicable laws and respond to lawful requests from authorities.

We do not use your personal information for marketing unless you have opted in or we have obtained your consent where required by law.

AI & Data Processing

Clavio uses artificial intelligence to generate suggested responses to buyer questions and issues. To do this, we send the content you submit (including buyer messages, screenshots, product titles, and descriptions) to third-party AI service providers. Those providers process this data under their own terms and privacy policies to generate text responses for you.

By using Clavio, you acknowledge that:

  • Content you submit may be processed by AI systems operated by our third-party providers.
  • We select providers that commit to using submitted data only to provide the service and in accordance with their published policies.
  • We do not use your content to train general-purpose AI models unless explicitly stated in a separate agreement or in the provider's terms.
  • If you do not want your content processed by third-party AI services, you should not use the AI generation features or the service.

Payments

Subscription billing for Clavio is processed by Stripe, Inc. When you subscribe or update your payment method, you are directed to Stripe's secure environment to enter your card or other payment details. We do not store your full card number or full card details on our servers.

We receive from Stripe information needed to manage your subscription, such as your billing email, subscription status, and payment method type. Stripe's collection and use of your payment data is governed by Stripe's privacy policy, available at stripe.com/privacy.

Refunds and payment disputes are handled in accordance with our terms of service and Stripe's dispute processes. We may use the information we hold about your account and usage to respond to legitimate payment or dispute inquiries.

Data Retention

We retain your information for as long as your account is active and as needed to provide the service. After you close your account, we may retain certain information for a limited period to comply with legal obligations, resolve disputes, enforce our agreements, and support legitimate business operations.

Content you submit for AI processing may be retained by us or our AI providers only as long as necessary to provide the service and as described in our agreements with those providers. You may request deletion of your account and associated data; see "Your Rights" below.

Data Sharing

We do not sell your personal information. We share information only in the following circumstances:

Service providers: We share information with vendors who help us operate Clavio, including our payment processor (Stripe), our AI service providers, and providers of hosting, analytics, and support tools. These parties are contractually required to use the information only to perform services for us and to protect it in line with this policy.

Legal and safety: We may disclose information if required by law, court order, or government request, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others, or to detect or prevent fraud or abuse.

Business transfers: If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to the same privacy commitments.

We do not share your personal information with third parties for their own marketing purposes.

Security

We implement technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit, access controls, and secure development practices. Our payment processing is handled by Stripe, which maintains industry-standard security for payment data.

No method of transmission or storage over the internet is completely secure. We cannot guarantee absolute security but we work to protect your information in line with common industry practice.

Depending on where you live, you may have certain rights regarding your personal information, such as:

  • Access: You may request a copy of the personal information we hold about you.
  • Correction: You may ask us to correct inaccurate or incomplete information.
  • Deletion: You may request deletion of your account and associated personal information, subject to legal or contractual retention requirements.
